Events Specialist (Hybrid)

The Events Specialist manages trade shows and other industry event activities (webinars, seminars, user conferences, customer events, trainings, etc.). Evaluates and reviews potential new trade shows and events to align with corporate strategic marketing initiatives. Works directly with Corporate Marketing, Marketing Program Managers/Directors, Business & Support Managers, Product Managers, Sales, Creative, Web team, Corporate Communications, Recruiting, and Senior Leadership to facilitate Rackspace’s participation and success in industry trade shows and all other external events.This position is located in San Antonio, TX in a hybrid work environment.

Key Responsibilites

    • Responsible for medium trade shows from kiosk booth space up to 10X20 booth space.
    • Researches trade shows, conferences, and industry events to ensure we are attending the most strategic events to enhance ROI.
    • Works collaboratively with Senior Leadership, Accounting, Finance, Sourcing, Legal, etc. to initiate approval processes necessary for the success of the event.
    • Works closely with Sales, Marketing, Corporate Communications, Senior Leadership, and other groups to: Create overall event plan and message to the market; coordinate procurement of giveaways and collateral; plan additional marketing opportunities and booth activities; identify speakers and coordinate sessions; partner with outside creative agencies; identify and train staffing; collaborate with partners to enhance Rackspace’s presence; and to help create a strategic product focus and theme around Rackspace events.
    • Manages and oversees all of the logistics and execution for Rackspace’s involvement with events, including: Designing booths and materials; working with show management, labor unions, city permits, and exhibit management companies; and coordinating A/V arrangements.
    • Manages event logistics including, but not limited to: Researching venues; booking event dates, room blocks, meeting space, and client dinners; registering Rackers and guests, managing guest lists; etc.
    • Responsible for using Salesforce, Marketo, and other marketing tools to create campaign codes and ensure all leads are placed into the appropriate campaign track post-show.
    • Partners with Marketing Operations and Finance teams to track ROI on all trade shows and industry events. Develops and trains necessary teams of staff to fulfill event responsibilities onsite, utilizing lead management systems, online collateral portal, and social media tools.
    • Researches promotional opportunities, vendors, and marketing materials to develop ideas and implement promotions.
    • Acts as a consultant to departments in planning and executing smaller events, meetings, dinners, happy hour, sales events, etc.
    • Guides managers and Field Sales Rackers on general seminar schedules and locales to assist with finalizing a general plan to ensure complete marketplace coverage.
    • Works with Product Development and Creative/Brand teams to ensure all collateral and other communications accurately reflect the Rackspace brand in both printed and online mediums

Knowledge/Skills/ Education

    • Advanced knowledge of event planning, tactics, and management.  
    • Ability to manage complex, high-profile, events that involve Senior Leadership and cross several business and product groups.
    • Excellent time management, program management, writing, communication, decision-making, presentation, human relations, and organizational skills. Detail oriented.
    • Ability to successfully work and promote inclusiveness in groups of all sizes, helping lead teams towards a common goal.
    • Ability to communicate technical info and ideas so others will understand.
    • Ability to frequently represent Rackspace, to the outside market through, face-to-face interactions with customers, prospects, partners, and media.
    • High school diploma or equivalent required. Bachelor’s degree required.
