As an Executive Assistant, you’ll be at the center of fast-paced activity, using your superior organizational, project, and time management skills to support team and office needs. It is critical that you use discretion and confidentiality working with sensitive information and key stakeholders across the organization. The ideal candidate is a master of logistics planning, has the ability to anticipate needs, incredible attention to detail, and flawless execution of multiple priorities.

WHAT YOU’LL DO:

  • Provide secretarial/administrative support directly to executives, exercising confidentiality, tact and diplomacy;
  • Use business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.; prepare responses to routine correspondence and inquiries;
  • Maintain files, records, calendars and diaries; arrange business travel, coordinate meeting arrangements and tracks expenses;
  • Participate in the development and implementation of secretarial standards, policies and practices for the organization
  • Executive’s calendar – set and follow-up meetings, align timing across multiple calendars, time zones, and constantly changing agenda, interact with both internal and external contacts, etc.
  • Arrange all logistics – flights, hotels, transportation, visas, permits, etc. and prepare and execute detailed travel itineraries (complicated and dynamic agenda/logistics with high quality standards)
  • Communicate information to executives, managers and others in the organization, and follow up on the status of assignments
  • Own/Coordinate events and visits (including agenda, logistics, F&B, etc.)
  • Lifestyle support of Executive and his Family: doctors, purchasing, apartments/houses, dog etc.
  • Any other suitable task that the Employer may assign in the futured

WHAT YOU BRING

  • Minimum 3 years of experience as an Administrative, Office, or Executive Assistant
  • Proficiency in Microsoft Outlook (calendaring), Word, Excel, and PowerPoint
  • Strong organizational skills and ability to structure and prioritize work in a fast-paced environment and handle multiple tasks concurrently
  • Responsive, open-minded, and able to switch gears at a moment’s notice
  • Impeccable attention to detail
  • Service-oriented, positive personality, and proactively anticipates needs without being asked or directed
  • Exceptional verbal, written, and interpersonal communication skills
  • Sound judgement and high integrity with ability to handle confidential information with discretion
  • Ability to work in complex, fast-paced, and dynamic international work environment
  • Flexibility to work across multiple time zones and travel as needed
  • Fluent in English
