As an Executive Assistant, you’ll be at the center of fast-paced activity, using your superior organizational, project, and time management skills to support team needs. It is critical that you use discretion and confidentiality working with sensitive information and key stakeholders across the organization. The ideal candidate is a master of logistics planning, has the ability to anticipate needs, incredible attention to detail, and flawless execution of multiple priorities.Acronis is a truly global firm—to be successful in this role you must thrive in diverse environments, have exceptional communication and interpersonal skills, and flexibility in order to work with the team across variety of seniority levels and time zones. WHAT YOU'LL DO

  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters, coordinate internal and external meetings
  • Organize domestic and international travel including flights, hotels, transportation, expenses while considering required travel Visas, costs, and proper documentation
  • Assist with on-site logistics for events including attendees, agenda planning, and other business-related meetings and event activities as needed
  • Be the business partner to SVP of Acronis Research
  • Help track status of key projects assigned, make sure progress is made, regular status reviews happen across the team and with your executive
  • Own creation of executive materials for executive meetings and reviews, including coordination with contributing members of staff and their respective teams
  • Help structure team organizational cadence, one-on-ones with direct reports and key team members, cross-team coordination, planning, and reporting processes
  • Help maintain organizational structure, roles and responsibilities, status of key hires, key personnel matters, other matters delegated by the executive
  • Manage information flow in a timely and accurate manner
  • Other administrative and project duties as requested

WHAT YOU BRING (EXPERIENCE & QUALIFICATIONS)

  • 5+ years of experience as an Administrative Assistant / Office Administrator
  • 2+ years of experience as an Executive Assistant
  • Excellent MS Office knowledge, including Outlook, Word, Excel, and PowerPoint
  • Proven experience supporting an executive in a multi-national, multi-lingual, multi-cultural organization
  • Strong organizational skills and ability to structure and prioritize work in a fast-paced environment and handle multiple tasks concurrently
  • Responsive, open-minded, and able to switch gears at a moment’s notice
  • Have ability to meet deadlines in a fast-paced quickly changing environment
  • Impeccable attention to detail
  • Service-oriented, positive personality, and proactively anticipates needs without being asked or directed
  • Sound judgement and high integrity with ability to handle confidential information with discretion
  • Ability to work in dynamic international work environment
  • Flexibility to work across multiple time zones
  • Exceptional verbal, written, and interpersonal communication skills
  • Fluent English
