It’s a practice that’s earned us industry accolades and helped contribute to our double-digit bottom-line growth.Role The business operations associate will support the VP of operations and the broader operations team in identifying and prioritizing potential initiatives and efficiency opportunities. They will own the evaluation of our processes and drive execution to completion. The focus of this role stretches across the organization and will support the breadth of program planning and management in the areas of IT, Finance and Legal. The business operations associate is a newly created role that will bring together operations excellence, change management and business operations. This role will report directly to our VP of operations and will support the operational function of the company.
Responsibilities
- Work in our key systems (Trello, Google Workspace, Unanet, Forecast) on a daily basis to gather key insights e.g. reviewing data and reports and metrics for operations reporting purposes.
- Support regular updates of the operations roadmap and Trello boards logging tasks, issues and achievements.
- Support the creation and coordination of stakeholder presentations including weekly company town hall meetings.
- Support VP of operations in the annual goal setting process including support of OKRs and reporting requirements, scheduling workshops and sending agendas.
- Deliver strategic projects for the Trail of Bits leadership team that provides key business insights as assigned and defined by the VP of operations.
- Create new policies and maintain all documentation in the operations handbook.
- Partner with HR and IT to provide business operations support in areas of onboarding, offboarding, employee equipment and inventory management as assigned.
- Partner with finance and accounting to support accounts payable and vendor invoice management, and accounts receivable as assigned.
- Support event planning and execution including company offsites, team meetings and virtual celebrations.
- Manage the company's coworking office membership (WeWork-New York City).
- Maintain the company calendar for recurring team meetings and company wide schedules.
- Triage inbound requests (Slack, email, OpenPhone, mail etc.) for operations surfacing urgent and important items.
- Manage company swag procurement, inventory and shipping (domestic and international).
- Manage vendor relationships including review of agreements and payment terms with an emphasis on costs containment, submitting for approval to the VP of operations.
- Develop and manage the business operations annual renewal calendar, providing reminders to key stakeholders on various renewals including insurance, software licenses and vendor agreements.
Requirements
- Bachelors in business administration or similar combination of experience and education
- 2-4 years of experience in an operational role supporting cross functional teams ideally in a high growth technology company.
- Experience sourcing vendors, reviewing agreements and establishing payment processes.
- Experience in high quality event planning and execution for large groups of attendees.
- Familiarity with accounts payable and accounts receivable.
- Experience creating presentation materials.
- Strong project management skills.
- Proven ability to plan, organize and direct the completion of special projects in an agile and remote environment.
- Ability to handle a multitasking environment, meet deadlines, and work across a wide range of high priority initiatives.
- Effective communication skills.
- The ability to simplify complex problems and develop clear plans and recommendations to various stakeholders.
- Experience with Google workspace, Trello, Slack.
- Excel/Google sheets skills including vlookups, sumifs, pivot tables.
- Strong analytical skills, data driven mentality and high attention to detail.
- Ability to dig through data to get actionable insights.
